Executive Assistant

Job Description

The Executive Assistant is responsible for, organizing, and executing a variety of events for the organization. The Executive Assistant works closely with customers, vendors, and staff to ensure that the events meet the objectives and expectations of the stakeholders. The Executive Assistant also handles the administrative and logistical aspects of the events, website management, database management, meeting management, event services, exhibits, outreach and marketing.
Some of the main duties and responsibilities of the administration of events are:
  • Consult with customers in order to determine objectives and requirements for events such as meetings, conferences, and conventions.
  • Confer with staff at a chosen event site in order to coordinate details.
  • Coordinate services for events, such as accommodation and transportation for participants, facilities, catering, signage, displays, and special needs requirements.
  • Arrange the availability of audio-visual equipment, transportation, displays, and other event needs.
  • Inspect event facilities in order to ensure that they conform to customer requirements.
  • Organize registration of event participants, including pre-conference registration, onsite registration, nametags, speakers, and signage.
  • Monitor event activities to ensure satisfaction of participants, and resolution of any problems that arise.
  • Evaluate and select providers of services according to customer requirements and budget.
  • Negotiate contracts with service providers and suppliers.
  • Monitor budgets for events.
  • Prepare and distribute promotional materials and invitations for events.
  • Assist in Soliciting and acknowledging sponsorships and donations for events.
  • Conduct post-event evaluations and report on outcomes.

A website manager oversees the day-to-day maintenance and administration of an organization's website. They perform a range of IT, marketing and website development tasks to ensure organizations have functional websites that represent them well and users can navigate easily.
A data manager is responsible for developing, overseeing, updating, organizing, storing, and analyzing data and data systems.
An Outreach officer will support executive leadership in disseminating information to stakeholders using a full range of media and communication methods.
